Ukraine Humane Society (“we,” “us,” “our”) funds animal rescue and veterinary care in Ukraine. This policy explains what information we collect, why, who we share it with, and how you can have it deleted. We keep it plain on purpose.

1. Information we collect

When you message us on Facebook or Instagram. When you contact our Facebook Page or Instagram account, we receive the content of your message, any photos or details you choose to include (for example, about an animal in need and its location), and the name and profile information Meta makes available to us. We receive this only because you messaged us first.

When you donate. If you donate, our payment processors collect your name, email address, and donation amount so we can process the gift and send you a receipt.

When you visit our website. Our website host may collect standard technical data (such as IP address and basic analytics) needed to operate and secure the site.

We do not collect special-category personal data, and we do not ask for it.

2. Why we use it

  • To answer you. We use the messages you send to acknowledge receipt — automatically, in your own language — and to route your request to a person on our team who follows up. Our automatic reply never promises money or a specific outcome; a human decides and responds.
  • To coordinate help. We use the details and photos you share to organize rescue and veterinary assistance.
  • To process donations and send receipts, and to keep the records a US non-profit is required to keep.

We do not use your information for advertising, and we do not sell it.

3. Who we share it with (service providers)

We share information only with the service providers that help us operate, and only as needed for the purposes above:

  • Meta (Facebook / Instagram) — the messaging platforms you use to contact us.
  • n8n — workflow automation that routes and processes incoming messages (self‑hosted on our own infrastructure).
  • DeepSeek — an AI text service we use to translate and summarize message content so we can understand and triage requests written in Ukrainian, Russian, or English.
  • Airtable — secure storage for the case records we create from your request.
  • Brevo — sends our email (such as donation thank‑you notes and receipts).
  • Stripe and PayPal — process donations.
  • Our website host — operates this website.

These providers act on our instructions and are not permitted to use your information for their own purposes beyond providing their service to us.

4. How long we keep it

We keep message and case records for up to 24 months after your request is resolved, after which we delete or anonymize them — unless we need to keep them longer to coordinate ongoing help or to meet legal, tax, or accounting obligations (for example, donation records required for IRS purposes).

5. How to delete your information

You can ask us to delete the information we hold about you at any time:

  • Email yana@ukrainehumanesociety.org with the subject “Data deletion request,” or
  • Message us on the same Facebook or Instagram account you originally contacted and ask us to delete your data.

We will delete your information within 30 days, except records we are legally required to retain (such as donation/tax records). To verify your request we may ask you to confirm it from the same account or email you used to contact us.

6. Children

Our services are not directed to children under 13, and we do not knowingly collect their information.

7. Changes

If we change this policy, we will post the updated version here with a new effective date.
